DICTATION OPTIONS 

            SmartMed-provided Dictation System:   

            Use of a SmartMed digital dictation system is provided at no additional cost

                (a tremendous savings to you, the customer, when the cost of a system,

                maintenance, upgrade, and telephone line expense is considered)

            Toll-free dictation lines

            Optional hand-held dictation units can be purchased by customer.

            Software allowing the customer to monitor transcription activity from their desktop

            Three-year archive of physician’s voice files.

            Customer-provided Dictation System:

            Although we prefer to provide the digital dictation system, SmartMed offers

                transcription coverage using a variety of customer-provided dictation  systems

                such as Lanier, Dictaphone, DVI, RTAS, Bytescribe and Phillips.

STORAGE OF DICTATED VOICE FILES 

For customers using a SmartMed-provided digital dictation system, or for voice files

offloaded onto our system, 3-year voice file storage is provided. This service is invaluable

in terms of quality assurance and as a protective measure, ensuring there will be no

need in the future to ask a physician to re-dictate.

TRANSCRIPTION STAFFING

A sufficient number of transcriptionists are assigned to an account, based on the average

number of daily dictated minutes and agreed turnaround time.  

 

SmartMed Transcription Managers monitor daily increases or decreases in workload and

assign coverage as needed to maintain turnaround time.

REPORT TURNAROUND TIME

Each customer determines report turnaround time. 

QUALITY ASSURANCE PROCESS

Periodic random quality reviews are performed on transcriptionists. Reviews include a

comparison of transcribed text and dictated voice, accuracy of medical terminology,

typographical errors, and punctuation and sentence structure critique. Quality Assurance

reports are available to all customers upon request.

PERSONNEL

Medical transcriptionists comprise approximately 85% of our total employee group and are

required to have a minimum of 5 years transcription experience.  Additional staff members

include account managers, support personnel, supervisors, programmers, software

trainers, administration and management personnel.

 

SmartMed offers a very competitive wage and benefit package to all employees. For new

accounts signing a full-service agreement, SmartMed guarantees an offer of employment

to all customer transcriptionists who are recommended by the customer and meet

SmartMed qualifications. Transcriptionists are required to pass a standard 90-day

probationary period, maintain acceptable quality control standards, and abide by all

policies and procedures outlined in the SmartMed Employee Handbook.

 

Employee benefits include an incentive pay plan, holiday pay, birthday pay, paid annual

personal leave time, contributions toward medical/life/dental/disability insurance, annual

enhanced health maintenance programs (mammography, vision), 401(k) plan and

credit union membership.   

PRIVACY AND SECURITY RULES

All systems and procedures are HIPAA compliant. SmartMed maintains a full-time Director of

HIPAA Compliance whose credentialing and experience is that of an HIM director. The

responsibility of the director is to oversee SmartMed policies, procedures and software in

terms of privacy, security and HIPAA compliance.

SmartMed provides 24/7 support contacts.

sample formats of all worktypes to be done, we can schedule installation and training at

your site within 30 days.
